Job Overview

As an Air and Ocean Import Coordinator, you will play a critical role in our operations by managing the importation process for both air and ocean freight shipments. You will work closely with clients, carriers, and internal teams to ensure the smooth and timely movement of goods from origin to destination. Your attention to detail and strong communication skills will be essential in this role.

Key Responsibilities

  1. Client Communication: Act as the primary point of contact for clients, providing them with updates on their shipments and addressing any inquiries or concerns promptly.
  2. Documentation: Prepare and review import documentation, including bills of lading, commercial invoices, packing lists, and customs declarations, ensuring compliance with all regulations and requirements.
  3. Customs Clearance: Coordinate with customs brokers to ensure timely clearance of imported goods, including submitting necessary documentation and resolving any customs-related issues.
  4. Carrier Coordination: Work closely with air and ocean carriers to book cargo, track shipments, and resolve any transportation-related issues or delays.
  5. Cargo Tracking: Monitor the progress of shipments, providing real-time updates to clients and internal teams, and taking proactive measures to address any potential issues.
  6. Compliance: Stay up-to-date with import regulations, customs procedures, and trade laws to ensure full compliance with government and industry standards.
  7. Reporting: Generate and maintain reports related to import shipments, providing insights to management and clients on performance and delivery timelines.
  8. Problem Solving: Identify and resolve any discrepancies, delays, or issues that may arise during the import process, working closely with all stakeholders to find efficient solutions.
  9. Cost Management: Assist in managing import-related costs, including negotiating rates with carriers and optimizing shipping routes to minimize expenses.

Qualifications

Previous experience in a similar role within the freight forwarding industry is preferred.
Strong knowledge of import regulations, customs procedures, and international shipping practices.
Excellent communication and customer service skills.
Detail-oriented with strong organizational and multitasking abilities.
Proficiency in using relevant software and tools for tracking and reporting
Ability to work independently and as part of a team.
Problem-solving skills and the ability to make decisions under pressure.
