Position Overview:

Our client are seeking a detail-oriented and proactive Ocean Import & Export Coordinator to join our team. The ideal candidate will have a strong understanding of international shipping processes, regulations, and documentation requirements. This role will involve coordinating and facilitating the import and export of goods via ocean freight, ensuring timely delivery, and maintaining communication with clients, carriers, and internal teams.

Responsibilities:

  • Coordinate all aspects of ocean import and export operations, including booking, documentation, customs clearance, and delivery arrangements.
  • Communicate with overseas agents, shipping lines, and carriers to schedule shipments, obtain rates, and track cargo.
  • Prepare and review shipping documents such as bills of lading, commercial invoices, packing lists, and certificates of origin to ensure compliance with customs regulations and client requirements.
  • Work closely with customs brokers to facilitate customs clearance processes and resolve any issues or delays.
  • Provide excellent customer service by responding to inquiries, providing shipment status updates, and addressing any concerns or issues in a timely manner.
  • Collaborate with internal departments such as sales, logistics, and warehousing to coordinate shipments and optimize logistics processes.
  • Monitor shipment schedules, transit times, and vessel schedules to ensure on-time delivery and minimize delays.
  • Maintain accurate records of shipments, documentation, and related expenses using our internal systems and software.
  • Stay up-to-date with changes in international trade regulations, customs requirements, and industry trends to ensure compliance and efficiency in operations.
  • Identify opportunities for process improvements and cost savings in ocean freight operations.

Qualifications:

  • Bachelor’s degree in Supply Chain Management, Logistics, International Business, or a related field preferred.
  • Previous experience in ocean import/export operations within the freight forwarding or logistics industry.
  • Strong knowledge of international shipping procedures, INCO terms, customs regulations, and documentation requirements.
  • Proficiency in using freight forwarding software and MS Office applications.
  • Excellent communication skills, both verbal and written, with the ability to effectively interact with clients, vendors, and internal teams.
  • Detail-oriented with strong organizational and problem-solving abilities.
  • Ability to work under pressure, prioritize tasks, and meet tight deadlines in a fast-paced environment.
  • Flexibility to adapt to changing priorities and willingness to work occasional overtime as needed.
  • Certification or training in customs brokerage or freight forwarding is a plus.
